The real problem

“There's always a paper missing.”

You send the list of documents. The client forgets half. You chase. One document is illegible, another expired, a statement is missing. Hours lost per file, and sometimes a deal that collapses over a single forgotten paper.

  • Every document is read, not just counted: legible, right period, right name.
  • The reminder goes out on its own, about the exact missing document.
  • You only open the file once it's complete. You approve, you send.

The life of a file

From the document list to an approved file.

What you see below comes from dossaia's real engine: the checklist, the client email, the consistency alerts and the reminders are generated by the product's own code, on an example file.

01The checklist

The agent knows what to ask for.

You pick the file type. dossaia generates the exact list of documents, with the rule each one must meet: the period, the number of pages, the validity.

Mortgage loan file · 8 documentsExample
  1. 01Government-issued photo IDDriver's license or state ID card (front AND back), or US passport (photo page only, no back required); valid, not expired, legible.
  2. 02Pay stubs, most recent 30 daysConsecutive pay stubs covering the most recent 30 days, in the borrower's name, showing the pay period, gross pay and year-to-date (YTD) earnings.
  3. 03W-2 forms, last 2 yearsOne W-2 per employer for each of the last 2 tax years, in the borrower's name, legible.
  4. 04Bank statements, last 2 monthsThe 2 most recent consecutive monthly statements of each account used for the down payment and reserves, all pages (including blank pages), in the borrower's name.
  5. 05Federal tax returns (Form 1040), last 2 yearsif applicableComplete Form 1040 for each of the last 2 tax years, all pages and schedules. Usually required for self-employed, commission or rental income.
  6. 061099 forms, last 2 yearsif applicableIf the borrower has 1099 income (contract work, interest, dividends, retirement), one form per payer for each of the last 2 tax years.
  7. 07Signed purchase agreementif applicableFully executed purchase contract with all pages and addenda (purchase loans only).
  8. 08Gift letterif applicableIf part of the down payment is a gift: signed letter stating the donor, relationship, amount, and that no repayment is expected.
03The reading

Each document is read, then cross-checked.

Present, legible, right period, right name, every page. Then a cross-document check catches what a rushed eye misses: a statement in the wrong name, a missing month, pay stubs that don't line up with the W-2.

Reading the document

Example
  • Present
  • Legible
  • Right period
  • Right name
  • Consistent with the rest

Points to check, flagged to the professional

  • Name to check: "Bank statements, last 2 months" is in the name of Casey Morgan, which differs from "Government-issued photo ID" (Jordan Miller).
  • Bank statements to check: 2 consecutive months expected, August 2026 not covered.
  • Gap to check: annualized gross pay from the stubs ≈ $83,950, W-2 wages (2025): $61,200 (37% gap). Can have a normal explanation (raise, new job, overtime, bonus, part-time): to check.

Deterministic cross-document checks. The agent flags, you judge.

04The reminders

The reminder names the document and the problem.

“Some documents are missing” unblocks nothing. dossaia tells the client the exact document and what's wrong, on day 2, 5 and 9, and stops as soon as the file is complete.

  1. Day 2

2 documents still needed for your file

  2. Day 5

2 documents still needed for your file

  3. Day 9

Last reminder: 2 documents still needed for your file

  4. ✓

    Reminders stopped: file complete

Each reminder names the exact document and the problem. It stops as soon as the file is complete.

05The summary

You open a complete file. You approve.

Notified when everything is compliant, clear summary, ZIP and PDF export ready to send. The agent prepares, the decision stays yours.

No automatic decision: the agent prepares, the human decides.

What others don't do

The AI checks the content, not just the presence.

Collection tools tick “received / not received”. dossaia actually reads every document, on three levels.

  1. 01

    Completeness

Is every expected document there? The agent compares against the file template and spots gaps, page by page.

  2. 02

    Compliance

Right document type, legible, right period, not expired. The agent checks each document as soon as it's uploaded.

  3. 03

    Consistency

Does the information match across documents? Name, employer, months, salaries: gaps are flagged, never decided.

Trust

Sensitive documents, treated as such.

Private, encrypted storage

Encrypted files, no public bucket. They only open through short-lived signed links, and you can delete a file at any time.

Declared AI processor

To read a document, dossaia sends it to Anthropic (Claude model). Your clients' documents are never used to train AI models, and never sold or shared.

The human decides

The agent prepares and flags. Never a credit decision, never a score: the final approval stays yours.

Frequently asked questions

Does the AI decide for me?

No. dossaia checks that each document is present, legible, from the right period and consistent, then hands you a summary. The final decision always stays yours. The agent prepares, the human approves.

Are my clients' documents secure?

Yes. Files are stored privately and encrypted (Supabase, EU region), and can only be opened through short-lived signed links. Nothing is public, nothing is sold or shared, and you can delete a file and all its documents at any time.

Who processes the documents?

To check a document, dossaia sends it to its AI provider, Anthropic (Claude model), which processes it in the United States and does not use it to train its models. No one else sees your clients' documents.

Do my clients need an account?

No. You send them a single secure link; they upload their documents in a few clicks, no sign-up.

Which files does it work on?

dossaia has US checklists for six industries: mortgage loan files (pay stubs, W-2s, bank statements, tax returns), rental applications, tax preparation, law firm intake, new hire onboarding and insurance applications. The verification engine is the same.

Does it work with my LOS?

dossaia sits before your loan origination system: it collects and checks the documents, then you export a ZIP of renamed documents with a checklist and a PDF summary to drop into your LOS or send to processing.

How much does it cost?

The trial is free: 3 files, no credit card. Solo costs $149/month, with a launch offer at $99/month for the first 3 months. The Firm plan (several users) is priced on request.

Can I cancel anytime?

Yes. No contract: Solo renews monthly until you cancel, from the Billing button in your dashboard. You can try it free before moving to a paid plan.
